Waiter Onboarding

This guide shows you how to work with the Elyvent till. Each section is one task. Just pick the task you need right now.

Buttons are written the way you see them on the screen, for example Send. On small screens you find the buttons at the top right under Actions.

Get access (once)

  1. Open partner.elyvent.com and sign up with your email address.
  2. Confirm your email address. You get an email for this.
  3. Tell your manager which email address you signed up with.
  4. As soon as they tell you it is done: reload the page. Now you see your restaurant.

Open the till

  1. Sign in at partner.elyvent.com.
  2. Tap your restaurant.
  3. Tap Cassa in the menu on the left.
  4. Do you see Choose a register? Tap the till you work at.

Now you see the floor plan.

The floor plan

On the left (on a phone: at the top) you see the areas of your venue, for example “Terrace”. Tap an area to see its tables. The colour tells you what is going on at a table:

ColourIt means
GoldFree. Nothing open.
RedSomething is open: items, or a bill that has not been paid yet.
Purple with a phone iconA guest ordered by themselves with the Elyvent Code in the last hour.

If your venue offers pickup or self-service, you find it on the left under Direct sales.

Take an order

You want to: the guest orders – you type it in and send it to kitchen and bar.

  1. Tap the table on the floor plan.
  2. On the right, in the menu, tap a category, for example “Drinks”.
  3. Tap the item.
  4. Choose what the guest wants, for example size or side dish. If it says “Choose at least 1”, you must pick something.
  5. Tap Add. The item now shows in the middle.
  6. When everything is typed in: tap Send at the top right.

After sending, the tickets print in the kitchen and at the bar. The items then show under “Sent items” with a green tick.

  • More than 1? Tap + next to the item.
  • Without onions? Open the item and untick it under “Ingredients”.
  • Back to all categories: ← Categories

Change or remove something

Not sent yet (no green tick): you can change it yourself.

  • Fewer: tap −. At 0 the item is gone.
  • Different (for example another side dish): tap the item name, change it and tap Update.

Already sent (green tick): only your shift lead may remove it. Get them, and tell the kitchen yourself – no ticket prints for the kitchen.

Tabs: several bills at one table

A tab is a separate bill at the same table. Example: tab 1 for Anna, tab 2 for Ben. Later everyone can pay their own.

  1. Tap New tab on the left.
  2. Tap the tab you want to work on. The active tab has a gold line on its left.
  3. Type in the items for this guest.

To name it: tap the active tab again → Rename tab.

Move items

You want to: guests move to another table – or one guest wants to pay separately.

  1. Tick the items. Everything at once: Select all.
  2. Tap the gold button Move … (for example “Move 3”).
  3. Tap the target: another tab at the top, or another table below.

The items move at once – there is no “Are you sure?”. So look carefully before you tap. If a whole table moves and there are several tabs, do it for each tab.

Bring the bill

You want to: the guest wants to see the bill before paying.

  1. Tap Checkout at the top right.
  2. All items are ticked. If only some should go on the bill, untick the others.
  3. Tap Bill at the bottom.

The bill prints. You find it on the left under Unpaid bills. The table stays red until it is paid.

Take payment

You take payment either straight away with Checkout – or, if the bill is already printed, by tapping the bill on the left under Unpaid bills.

Cash

  1. Tap Checkout or the unpaid bill.
  2. Tap Cash.
  3. Type in how much money the guest gives you (field Paid). Or tap a note, for example “€ 50,00”. If the guest pays the exact amount: Exact.
  4. The change shows under Return. Give it to the guest.
  5. Tap Done · Print receipt and give the guest the receipt.

The guest says “keep the change”? Tap … as tip (for example “€ 2,50 as tip”). The change becomes the tip.

Card

  1. Tap Checkout or the unpaid bill.
  2. Tap Card.
  3. Tap the button to charge, for example Charge € 42,00 or Charge card.
  4. Does it say “Present the card on the reader”? Give the guest the card reader. They hold their card to it.
  5. Done. The screen closes by itself.

Tip

  • Tap the field Tip and type in the amount. Or tap 10 %, 20 %, 30 % or 40 %.
  • If it says “Ask on reader”, the guest chooses the tip on the card reader.
  • All tips go into one shared pot. Your shift lead pays them out.

Split the bill

Everyone pays their own items

  1. Tap Checkout.
  2. Untick everything this guest did not have. They had only 1 of the 2 beers? Set it to 1 with −.
  3. Take payment as usual with Cash or Card.
  4. The rest stays on the table. Tap Checkout again for the next guest.

You already know when taking the order that they will pay separately? Open a separate tab for each guest right away.

Everyone pays the same

  1. Tap Checkout, then Cash or Card.
  2. Tap ½ (2 people), ⅓ (3 people) or ¼ (4 people).
  3. Tap Part payment … stays open.
  4. For the next guest, again Cash or Card. The last guest pays with Everything.

One guest pays cash, the other by card? Take the cash part first, then the rest by card.

Cancel a bill

What you do depends on whether the bill has been paid.

The bill is printed but not paid yet

For example: the guest wants to order more, or there is a mistake on the bill.

  1. Tap the bill on the left under Unpaid bills.
  2. Tap Return to table.
  3. Confirm with Return to table once more.

The bill is cancelled and a cancellation receipt prints. The items are back on the table as a new tab. Now you can change, add and bill again.

Should the bill disappear completely, without the items coming back? That is Cancel bill – only your shift lead may do that.

The bill is already paid (give money back)

Only your shift lead may give money back. Get them. This is how it works:

  1. Open the table and tap Order history.
  2. Tap the order.
  3. Tap Actions, then Refund.
  4. Everything back? Leave Refund All ticked. Only part of it? Untick it and choose the items. Choose a reason.
  5. Tap Choose refund method and choose where the money goes back to, for example Cash.
  6. Tap Confirm Refund.
  • Cash: take the money out of the drawer and give it to the guest.
  • Card: the money goes back to the card. Only with your own, unconnected card terminal do you do the refund yourself on the terminal.

A cancellation receipt prints.

Print again

  • Bill not paid yet: tap the bill on the left under Unpaid bills → Print bill again.
  • Already paid: Order history → tap the order → Actions → Print receipt.

The second print says “COPY”. That is correct.

Orders via the Elyvent Code

Guests can order and pay by themselves on their phone. To do that, they scan the Elyvent Code on the table.

  • You do not need to confirm or take payment – the guest has already paid.
  • The tickets print automatically in the kitchen and at the bar.
  • On the floor plan the table is purple and has a phone icon.
  • You find the order in the table’s Order history.

Just bring the guest the food and drinks.

When something goes wrong

What you seeWhat you do
A button is missing, for example Card or SendYou are missing a permission, or the till is set up differently. Ask your shift lead.
“Terminal not reachable”Is the card terminal switched on and on the Wi-Fi? Then Retry. Nothing was charged.
“The card payment was declined or cancelled.”The bill stays open. Try again, or let the guest pay another way.
“Connection problem”Your input is not lost. Tap OK and check the Wi-Fi.
“Send failed”Tap Send again. If it still fails: tell the kitchen in person and inform your shift lead.
The printer does not printCheck paper and power, then print again. If it still fails: shift lead.
A colleague was just working on the same tableGo back to the floor plan and open the table again before you change anything. Otherwise you overwrite each other’s changes.

End of shift

  1. Look at the floor plan: is any table still red? Take payment or hand it over to a colleague.
  2. Working on a shared device? Sign out: tap your profile picture at the top right → Sign out.

Your shift lead does the day close (counting the till, taking the money out) and pays out the tips.
